FullCircleAI provides software to construction and service businesses. Those businesses use it to price work, send proposals, schedule jobs and stay in touch with their own customers. This policy explains what the software holds and what we do with it.
Who the information belongs to
Most of the information in FullCircleAI is entered by the businesses that use it, and it is about their customers and jobs. We hold it on their behalf. If you are the customer of a business that uses FullCircleAI and you want your information corrected or removed, ask that business — they control it, and we act on their instruction.
What we collect
- Account details for the businesses that subscribe: company name, contact name, email address, telephone number and billing details.
- Job information those businesses enter: their customers' names, addresses, email addresses and telephone numbers, along with estimates, proposals, contracts, photographs and site drawings.
- Records of messages sent through the software — emails and text messages, with the time they were sent and whether they were delivered.
- Signing records where a contract is signed electronically: the time, the network address and the browser used, kept as evidence that the signature is genuine.
- Usage and security logs needed to run the service and keep accounts safe.
Text messages
Businesses using FullCircleAI can send text messages to their own customers about estimates, contracts and appointments — to numbers those customers gave them. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help.
We do not sell mobile telephone numbers, and we do not share them with third parties for marketing or promotional purposes. Numbers are shared only with the telecommunications providers needed to deliver a message.
What we do with it
- Run the service, and send the messages a business asks us to send.
- Keep records a business is required to keep, such as signed contracts.
- Protect accounts, investigate misuse and meet legal obligations.
- Support customers who contact us for help.
We do not sell personal information, and we do not use the contents of a customer's jobs to advertise to anyone.
Who else sees it
We use a small number of service providers to run the software, and they see only what they need to do their part: telecommunications providers to deliver text messages, an email delivery provider to deliver email, a payment processor to take payment, hosting providers to run the servers, and AI providers where a feature summarises or drafts text. We may also disclose information where the law requires it.
How long we keep it
We keep information for as long as the business's account is open, and afterwards only where a record has to be kept — a signed contract and its audit trail being the clearest example. A business can ask us to delete their account data, subject to those obligations.
Security
Access is restricted to the business that owns the information and the people they invite. Connections are encrypted, passwords are stored hashed, and administrative access requires a second factor. No system is perfectly secure, and we do not claim otherwise.
Children
FullCircleAI is business software and is not directed at children under 13. We do not knowingly collect their information.
Changes
If this policy changes we will update the date at the top of this page.
